This policy is provided as a starting template and should be reviewed by qualified legal counsel before publication. Bracketed details and contact addresses are placeholders to be confirmed.

Overview

Melodron ("Melodron", "we", "us", or "our") provides an API-first music distribution platform and related integration services. This Privacy Policy explains how we collect, use, share, and protect personal data when you visit our website, contact us, or use our platform.

We act as a data controller for personal data relating to our website visitors and business contacts, and as a data processor when we handle catalog and delivery data on behalf of our customers under a separate data-processing agreement.

Information we collect

We collect the following categories of personal data:

  • Contact details you provide — such as your name, work email, company or label name, and the contents of any message you send us through our contact form or by email.
  • Account and integration data — credentials, API keys, and configuration details required to connect your systems to our platform.
  • Usage and technical data — IP address, browser and device information, and pages visited, collected through standard server logs and privacy-respecting analytics.
  • Catalog metadata — information about releases, tracks, rights holders, and identifiers (such as ISRC, UPC, and EAN codes) processed on behalf of our customers.

How we use information

We use personal data to:

  • Respond to enquiries, schedule demos, and provide customer and integration support;
  • Provide, operate, maintain, and improve the Melodron platform and deliver releases to digital service providers (DSPs);
  • Validate metadata, verify deliveries, and produce reporting;
  • Secure our services, prevent fraud and abuse, and meet legal and contractual obligations.

Legal bases for processing

Where the EU or UK General Data Protection Regulation applies, we rely on the following legal bases: performance of a contract with you; our legitimate interests in operating and securing our business; your consent where required (for example, certain cookies or marketing); and compliance with a legal obligation.

Sharing & disclosure

We do not sell personal data. We share it only as needed to operate our services, including with:

  • Digital service providers and their delivery endpoints, to distribute releases and metadata on your instruction;
  • Sub-processors — vetted infrastructure, hosting, and tooling providers acting under contract and on our instructions;
  • Authorities or advisors where required by law, regulation, or to protect our legal rights.

Data retention

We retain personal data only for as long as necessary for the purposes described in this policy, to comply with our legal and contractual obligations, and to resolve disputes. Retention periods vary by data type; catalog and delivery data are retained according to the terms of the applicable customer agreement.

Security

We protect personal data using appropriate technical and organisational measures, including encryption in transit and at rest, access controls, and audit logging. No method of transmission or storage is completely secure, but we work continuously to safeguard the data entrusted to us and to validate that deliveries complete as expected.

International transfers

Melodron operates EU-based infrastructure. Where personal data is transferred outside the European Economic Area, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or an adequacy decision.

Your rights

Subject to applicable law, you may have the right to access, correct, delete, or port your personal data; to object to or restrict certain processing; and to withdraw consent. You also have the right to lodge a complaint with your local data-protection authority. To exercise any of these rights, contact us using the details below.

Cookies & tracking

We use a small number of cookies and similar technologies that are strictly necessary to run the site, plus optional analytics to understand how it is used. You can control non-essential cookies through your browser settings or any cookie banner we present.

Changes to this policy

We may update this policy from time to time. When we make material changes, we will revise the "Last updated" date above and, where appropriate, provide additional notice.
